Build the process out of parts that already certify
A step asks for what you need and nothing else: a number, a photo taken on the spot, a signature, a document read and accepted. Whatever a step collects arrives certified, because the seal is applied while the person is collecting it.
Data the person fills in
Short answers, long descriptions, dates, amounts, a list to choose from. Each step decides what is mandatory, so a form comes back complete or does not come back at all.
Material captured or uploaded
Photos, a video, a recording, a document scanned in front of you, a web page as it appeared. Files that already exist go in too: a PDF, a contract, a spreadsheet, an export from another system.
Identity and signature
You decide how sure you need to be about who is on the other side: a code by text message, a signature, a contract read and accepted, more than one person signing the same file.
Context and rules
Around the steps you set the conditions: where the capture has to happen, what cannot be skipped, what is already filled in for the person, how the report is named and laid out.

Most information is still collected by memory and goodwill: a checklist in a drawer, a colleague who knows what to photograph, an email that arrives with half the attachments. A guided process replaces all of that with steps everyone follows the same way.

What cannot be skipped is not skipped, so nobody has to go back on site for the photo that was never taken.
